How the calculation works
Reimbursement = business distance in kilometres × agreed rate per kilometre.
A worked example
220 km at an agreed £0.45 per km gives a £99 reimbursement. Whether any payment is taxable depends on the applicable rules.
What to allow for
- The example £0.45/km rate preserves the original calculator’s default. Replace it with your actual agreed rate.
- HMRC mileage rules use miles and may depend on the vehicle, tax year and total annual mileage. This single-rate tool does not apply those rules or calculate tax relief.

Can I enter miles?
Convert miles to kilometres using miles × 1.609344. Divide a per-mile reimbursement rate by 1.609344 to get the matching per-kilometre rate.
Is reimbursement the same as tax relief?
No. Reimbursement is a payment towards travel costs. Tax relief depends on eligibility, approved rates, your tax position and any amount already reimbursed.
